Membership and Marketing Assistant

As a member of CDHA's team, the administrative assistant is responsible for providing administrative support to the Membership and Marketing & Communications teams.  Essential skills include a strong commitment to customer service, excellent administrative and organizational skills with strong attention to detail, and effective written and oral communication skills.


Administrative support

  • Receives all visitors, telephone inquiries and manages info@ emails.
  • Processes all incoming and outgoing mail, manages and prepares (printing, packaging, shipping) mailings and shipments.  e.g. Student recruitment packages, author mailings, National Dental Hygienists Week (NDHW)
  • Manages contact/distribution lists and internal folders and files
  • Drafts/responds to routine correspondence and refers complex issues to appropriate parties.
  • Assists with quality assurance of website by submitting content, managing projects in Basecamp and proofing areas of the website to ensure accuracy
  • Sets up and manages mass emails and surveys via Survey Monkey/Doodle Poll, etc.
  • Provides fax and photocopying support
  • Records minutes for meetings or conference calls
  • Maintains office supplies, stationary and promotional items and liaises with relevant suppliers
  • Maintains upkeep of storage room, kitchen and washroom supplies
  • Performs other duties as required 


  • Processes membership applications and payments, including conference registrations (credit card and cheque)
  • Updates member information and enters profiles in iMIS ensuring data is accurate; includes verifying new accounts created via web, merging duplicate accounts and running bi-weekly quality assurance reports
  • Makes outbound calls to support membership marketing strategy


  • Provides admin support for a variety of MarCom programs including NDHW and other campaigns and contests.
  • Supports media relations program for the association, manages/updates media lists, ensures release distribution, coordinates responses to media requests.
  • Contributes to research, proofreading and publication of documents as required
  • Provides admin support for production of Oh Canada magazine and other publications including management of publication archives.
  • Administers Job Board Postings.


  • Post Secondary Education



  • Three years progressively responsible administrative experience


  • Fluently bilingual
  • High level of communication skills, both written and verbal, with confident telephone manner and professional attitude
  • Understanding of great member service
  • Database experience (iMIS preferred)
  • Thorough knowledge of Microsoft Office Suite (MS word, PowerPoint, Excel) and Adobe products
  • Knowledge of office equipment and procedures
  • Resourceful, with strong organizational skills and effective interpersonal skills
  • Team player



  • Knowledge of Basecamp is an asset
  • Previous experience in a professional association
